To send a fax, you need the recipient's fax number and your document as a PDF or on paper. There are five ways to send it. Use a fax machine or all-in-one printer on a phone line. An online fax service or fax-to-email provider handles the call remotely. A copy shop or shipping store can send it for you. An API lets software send it.

## What you need before you start

Get these ready before you pay or press Send:

- The recipient's confirmed fax number in full international form. Use +1 for the United States and Canada. Ask for the fax number specifically.
- A readable PDF, or a scan of your paper document. Check page order and signatures. For a machine or shop, bring the paper.
- A cover sheet only if the recipient requests one. Ask whether their department needs a reference number.
- A clear black and white document. Standard fax resolution is 204 by 98 dots per inch. Fine resolution is 204 by 196 dots per inch. Small grey text can disappear.

## Use a fax machine or all-in-one printer

Check that your printer has a fax modem. A scanner and a Wi-Fi connection alone won't send a telephone fax. Connect the fax port to an analog phone line or a compatible adapter. Internet phone services do not all carry fax tones, so ask your provider before you rely on one.

Load the paper as the machine's diagram shows. Enter the number in the dialing format your line requires. Check it before pressing Send. Wait for the transmission report and keep it.

You pay for the equipment and the phone service. Call charges depend on the destination and your plan.

## Use an online fax service

Create an account if the service requires one. Enter the recipient's fax number in the service's web form. Upload your PDF and review the preview. Check the page count before paying or sending. Wait for the service's final transmission result. An upload confirmation only says the service accepted your file.

The cost is a monthly fee or a charge per page. Check whether a subscription renews automatically. For a single fax, compare the total charge with the cost of visiting a shop.

Our [guide to sending from a computer](https://faxforagents.com/blog/send-fax-from-computer/) covers that workflow.

## Send through a fax-to-email provider

A fax-to-email provider with outbound sending lets you send an attachment from your email account. Follow its rules for authorized sender addresses.

Make the recipient address from the fax number and the provider's email domain. Copy the provider's required format exactly. Attach the PDF and send your email.

The provider calls the fax number. Your internet connection carries the email to the provider.

You'll need a provider account. Expect subscription or usage charges. Check whether the subject or message body becomes a cover sheet. Wait for the provider's fax result before treating the job as complete.

## Visit a copy shop or shipping store

Call ahead to check that the store sends faxes and is open when you need it. Ask the per-page price for your destination.

Bring the document and recipient's number. If you only have a PDF, ask whether the shop accepts files or needs a printed copy.

Check the number with the staff before transmission. Keep the paper confirmation after the send finishes.

You pay per page, plus any printing charge. This option costs a trip and time at the counter.

## Send through an API

A [fax API](https://faxforagents.com/fax-api/) is for applications that send documents as part of a workflow. It needs software setup.

With Fax for Agents, upload the PDF or post text, Markdown or HTML, then request a quote for the destination. The quote fixes the price, the pages and the sender for ten minutes. Send that quote with an `Idempotency-Key`. A live send needs a person's approval or a delegated policy written in advance.

The answer is a job in state `queued`. Read the final state and save the receipt. It holds the provider reference, the document hash, the pages and the amount. The [quickstart](https://faxforagents.com/docs/quickstart/) walks through the five calls with a free test key.

The service charges per page from a prepaid wallet. You don't need a subscription.

## How do you know it arrived

During the call, the receiving machine confirms each page with a T.30 message confirmation, called MCF. The sender's transmission report or the provider's delivery record is your evidence.

The standard is [ITU-T T.30](https://www.itu.int/rec/T-REC-T.30), "Procedures for document facsimile transmission in the general switched telephone network". The 09/2005 edition remains in force.

On a completed fax transmission report, "OK" or "sent" means the remote machine accepted the pages. It doesn't prove a person read them.

Check the destination and confirmed page count against what you intended to send. Save the report with the document. If a deadline matters, call the recipient to confirm it reached the right department.

## Common failures

- Busy: wait and retry after the line clears. Check whether your service already retries before starting another send.
- No answer: check the number with the recipient. Ask them to confirm their fax equipment is on.
- A voice line: ask for the recipient's fax number. Redialing their voice number won't fix the problem.
- Paper out at the far end: ask the recipient to reload the machine. Have them check its receive status before you retry.
- A password-protected document: save a copy without password protection if you have permission. Upload that copy.
- Grey text: change faint text to solid black and enlarge small print. Preview the revised file in black and white.

If the result is unclear, check the transmission record before resending.

## If software sends it for you

An [agent or script](https://faxforagents.com/fax-for-ai-agents/) uses Fax for Agents with a quote before the send and a receipt afterward. A person can be asked to approve each exact send. As of 2026-10-28, sending to the United States and Canada costs $0.039 per page. See the [pricing page](https://faxforagents.com/pricing/) for international rates.

## Questions

### Can I send a fax without a fax machine?

Yes. An online fax service accepts your PDF through a browser. A fax-to-email provider with outbound sending accepts attachments by email. A copy shop or shipping store can send paper documents for you. These options use someone else's fax connection, so you don't need a home phone line.

### How much does it cost to send a fax?

Machine users pay for phone service and any call charge. Online services charge subscriptions or usage fees. Shops charge per page and sometimes for printing. Fax for Agents charges $0.039 per page to the United States and Canada as of 2026-10-28. Its minimum wallet top-up is $10 as of 2026-10-28. Cover pages count as pages. Failed sends aren't charged. Partial sends are charged only for pages the provider confirmed.

### Do I need a cover sheet?

Only if the recipient asks for one. Use their required form when they provide it. If they want a cover sheet without supplying a template, include the recipient's department and your contact details. Add any reference number they request. Count the cover sheet when checking the total page count.
